An industrial RFQ form should continue the buyer’s evaluation. If someone has already found a product, compared an option or described an application, a generic contact step should not force that person to start again.
Two RONGJING cases show different parts of this problem. VAZPO separates sample demand from bulk RFQs at the product page. AERECH shows a move from generic contact to a requirement-led inquiry. These are documented design changes, not evidence of a measured increase in qualified leads.
Separate the action by buyer intent
A sample request and a bulk procurement discussion do not necessarily need the same next step. The VAZPO case presents Buy Sample and Bulk RFQ as direct product-page actions instead of routing both through Contact Us. Its sample example includes a specification and quantity choice.
The transferable decision is to distinguish the request before choosing the form. For your business, clarify which requests can follow a defined transaction and which need technical or commercial review. Do not promise instant pricing when the product, quantity or requirement still needs confirmation.
Preserve what the buyer has already evaluated
AERECH’s inquiry work follows product-family exploration, model comparison and application context. The requirement-led approach captures information such as product, data rate, quantity, target platform and the requirement being discussed. Those fields matter because they help continue a specific technical conversation.
They are not a universal form template. A solar-cable buyer and an optical-networking buyer may need different questions. Start with the information your team actually uses to understand a request. Carry product context forward where it is available, and let the buyer correct it rather than silently treating it as an approved specification.
Decide which questions belong before submission
Separate information needed to reply from information needed to quote. A contact method makes follow-up possible; a complete technical specification may require a conversation. If a field is compulsory, the team should be able to explain why the inquiry cannot usefully proceed without it.
This is a design recommendation derived from the requirement-led approach. It does not establish a tested optimum number of fields or a conversion-rate promise. Optional technical details can be useful without making every early-stage buyer complete a procurement questionnaire.
Define the handoff before adding automation
A useful handoff should let a salesperson distinguish what the buyer supplied, what the website carried forward and what still needs checking. As a proposed operating checklist, preserve:
- The request type: for example, sample demand or a bulk quotation discussion.
- The product or application context already selected.
- The buyer’s stated quantity and technical requirement, if supplied.
- A reply channel and the questions still unresolved.
- The next responsible person and action, using your actual sales process.
The last item is an operational decision, not a feature proven by the published case screenshots. These cases do not demonstrate a particular CRM deployment, automated scoring model, response-time SLA or AI qualification system. Decide those rules with the sales team before implementing routing or automation.
Check both submission and the sales team’s view
For implementation acceptance, use a clearly marked test request and check that the server saves the intended context, that the user sees the correct result, and that the responsible person can retrieve and act on the record. If email is part of the handoff, separately verify actual receipt; an accepted sending request is not the same evidence.
This is a recommended acceptance procedure, not a claim that the client cases have completed that operational test or achieved a particular response time. Measure outcomes separately after the workflow is in use.
Start from the demonstrated changes
